How to add a user print code to your printer settings*

  • First open up a print dialog window (you can do this from most apps, including chrome which you’re using to read this) by pressing Option+Command+P
  • A printer dialog window will pop up.




  • Select the proper printer on the first field (JG-WORKRM-COP for example).
  • If you do not see the Output method option, please remove the printer from your system and re-install it via Self Service.
  • Check the box next to Account Track

  • A window will pop up. Enter your password in the password field. Leave the Department field empty. Check the box on ‘Save Settings’ and check the box on the ‘Do not show this windows when setting’ option. Click OK
  • On the Presets field, select Save Current Settings as Preset.

  • Name the preset as anything you’d like and click on OK.
  • Click on the Print button to print to the copier (this saves the settings, so the next time you use it, it’ll remember your new default setting).
  • You’ll need to do these steps for each printer/copier you use with an account code.

  • NOTE: If the checkbox to save the account track password is greyed out, you need to re-install the driver for the Konicas from self service.

    TL;DR version

    On a Macintosh computer:
  • Open the Print window of Microsoft Word or other application. Be sure that the printer you want to use is selected as the printer in the Printer field.
  • In the Print window, click the Copies and Pages drop down menu then Output Method.
  • In other programs the drop down menu may be the name of application being used (i.e. Excel, Powerpoint, TextEdit, etc.)
  • In the Output Method window, check the box for Account Tracking.
  • In the Account Track window, leave the Department name field blank; in the Password field enter the number you have been assigned.
  • Click OK to go back to the Print window.
  • In the Print window, click Presets and select Save Current Settings as Preset...
  • Enter a Preset name such as Print with Account Track, then click OK.
  • To make that preset the default, hold the Option (alt) key when choosing your preset, and it will become Default.


  • On a Windows computer:
  • Start --> Printers and Faxes
  • Right click on the Copier/Printer and select Properties at the bottom
  • Under the General tab, click on the Printing Preferences... button
  • Under the Basic tab on the Printing Preferences window, click on the User Authentication/Account Track... button
  • On the User Authentication/Account Track window - Put your 4 digit print code in the password field. Leave the Department ID field blank.
  • Press the Verify button to make sure your code will work. Not every code will work on all printers.
  • Click OK on the User Authentication/Account Track window to close it
  • Click OK on the Printing Preferences window to close it
